It’s secured through a group contract, and the rates typically include the rooms, round-trip transportation between the airport and the hotel or resort, all meals & drinks, and also include taxes.

A room block is the best way to plan your destination wedding as it locks in prices, secures room availability, and allows guests to pay for their own rooms individually while you (the couple) are the ones who sign the contract.

How Destination Room Blocks Work

Minimum Requirements

Room blocks typically have a 10-room minimum. It’s important to secure a room block only if you are confident you will need at least 10 rooms, as cancellations can trigger group cancellation policies. If your room block falls below 10 rooms, you may also lose out on amenities that contribute to an elevated experience for everyone.

Group Deposits

Average group deposits are typically around $100 per room. This deposit is paid by the couple when the contract is signed and secures the room block. While the group deposit is non-refundable, it is applied toward the cost of the couple’s room at the resort. Think of the group deposit as a down payment on your reservation.

Group Rates

You’ll hear a lot about getting the lowest group rates or negotiating rates. We do try to ensure that the group rates are the lowest possible price at the time we sign the contract. However, resorts run promotions and sales from time to time, which do not apply to groups. Those sales typically have stricter terms – pay in full now, non-refundable – and are only for a few rooms. The more favorable terms of your room block – smaller deposit, payment plans, changeable travel details, and perks – are a better deal for wedding groups.

Room Block Deadlines

The resort will set deadlines for when rooms need to be booked and when they need to be paid in full. The booking deadline is the date by which your guests must reserve rooms. This deadline ensures that those rooms will be available for your destination wedding and guarantees the lowest possible price up until the deadline.

The final payment for each room will typically be 5-6 months before the travel or wedding date. Booked and fully paid rooms count as your RSVPs, so you’ll want a firm grasp on your guest count before planning. Having this worked out beforehand is a major benefit, as you’ll be able to reserve a room block with confidence, plan the details of your wedding events, and enjoy a smoother planning experience overall.
